Work Process for Translation Services

  • STEP.01 Consultation

    FREE trial translation!

    The first step is to inquire with JTC using the Inquiry in English form, by e-mail, or by telephone.
    A representative will ask you about the desired language, purpose of the translation, volume (number of words/characters), deadline, receipt of original, delivery format, and other matters. We will also accept requests for layout changes, HTML editing, artwork editing, and other forms of editing, so please notify the representative if you will require any of these services.

    We also offer a free translation trial (partial translation) service.
    Feel free to ask for a trial if you are anxious as a first-time customer or requesting a highly specialized translation.

  • STEP.02 Preparation of estimate

    We will prepare an estimate based on your inquiry. We can submit the estimate on the same day if you are in a hurry. If you wish, your JTC representative will visit you to discuss the estimate.

  • STEP.03 Receipt of original

    We will ask you to send your original to be translated by e-mail, a file transfer service, or postal mail, or other means.

  • STEP.04 Translation

    We will select a translator who is suitably qualified to handle your translation from the plentiful human resources available to us. We will complete the translation accurately, quickly, and in accordance with the JTC QC Standards.

  • STEP.05 Proofreading

    We will provide rigorous in-house proofreading with a teamwork-based approach that brings together Japanese and native-speaker staff.

  • STEP.06 Delivery

    We will deliver the finished translation in the format you requested and by the deadline you specified.
    Segmented and partial deliveries are also available upon request. Please ask if your schedule requires segmented or partial delivery.
    If, after delivery, you have any requests for corrections, we will immediately feed them back to the translator.

Work Process for Interpreting Services

  • STEP.01 Consultation

    The first step is to inquire with JTC using the Inquiry in English form, by e-mail, or by telephone.
    A representative will ask you about the desired language, content and theme of interpreting, date/time and place, type of interpreting (simultaneous or consecutive), need for audio equipment, and other matters.

  • STEP.02 Preparation of estimate

    We will prepare an estimate based on your inquiry.
    If you wish, your JTC representative will visit you to discuss the estimate.

  • STEP.03 Coordination and receipt of advance literature

    We will arrange interpreters who are suitably qualified to meet your requirements. At this time, we will also ask you to provide literature concerning the subject to help us enhance interpreting quality.

  • STEP.04 Preliminary study by interpreter and final checking

    The interpreters will carefully read the advance literature and confirm its content and terminology. Additionally, your JTC representative will take responsibility for making final adjustments and confirmations to ensure better quality and smooth execution on the day.

  • STEP.05 Implementation

    We will take every precaution to ensure appropriate interpretation.

Personal Information Protection Policy

With the growth of advanced information technology, companies and industries are now increasingly linked together by information networks. These make it easy to execute personal information searches and other functions that would once have been physically impossible.
Considering the importance of protecting personal information including specific personal information (hereinafter “personal information”), we, the Japan Translation Center, must make every effort to ensure the safety and reliability of information systems in this advanced IT society, while fostering an awareness of protecting the personal information of our employees. We will redouble our efforts to apply this principle when developing our business and will strive to ensure that the rights of the individual are not infringed.
Being mainly engaged in the business of translation and interpretation, we now declare our policy on protecting specific as set forth below. We do so with the aim of creating a management system to protect all personal information handled in connection with this business, as well as the specific personal information of our employees and all others whose personal details we handle.

Protection Policy for Personal Information

  • In our business activities, we will maintain a system whereby personal information, can be reliably acquired, used and provided as appropriate.
  • When gathering specific personal information, we will specify the purpose of use, limit our use and provision to a previously agreed scope, and build a management system to ensure that such information may not be used for any other purpose. Moreover, when entrusting personal information, held by this company to an entity outside the company, we will engage in evaluation and management of the receiving entity to maintain a safe level of protection.
  • We will devise effective safety management measures and other preventive measures to guard against the various risks that could affect personal information, handled by this company (leakage, loss or damage). If such risks should occur, we will prevent recurrence by promptly taking corrective measures throughout the company.
    We will also respond promptly to complaints and requests for consultation regarding personal information.
  • We will constantly monitor and observe laws and ordinances related to the handling of personal information, as well as guidelines, rules and other regulations stipulated by the government.
  • We will build a management system for the protection of personal information, make continuous improvements through internal auditing and periodic reviews, and maintain an appropriate system of management.

Notice Concerning the Purpose of Use of Personal Information

1.Purpose of Use

The Japan Translation Center (hereinafter “JTC”) shall use personal information and specific personal information within the scope necessary to accomplish the items detailed in the Business Description and Purpose of Use shown below. In addition, when the purpose of use of specific personal information is separately restricted by law, JTC shall not handle said information beyond the purpose that is permitted.

Business Description
  • Translation, interpreting and editing
  • Work ancillary to the above (e.g. editing, printing, etc.)
Purpose of Use
  • To execute JTC’s work
  • To recruit, select for hiring, and notify provisional job offers to JTC translators, interpreters, editors and employees
  • To manage the employment of employees; manage the registration of translators, interpreters, editors, and others entrusted with work; execute administrative work for the preparation of payment records; and handle individual tax returns
  • To answer to the estimates and inquiries from customers and applicants

2.Provision of Personal Information and Specific Personal Information

JTC shall not provide or disclose personal information or specific personal information it has gathered to any third party without the owning person’s consent.

3.Subcontracting of Processing of Personal Information and Specific Personal Information

Provision
  • JTC shall not provide personal information it has gathered to any third party without the owning person’s consent, except in cases stipulated by laws and regulations.
  • The specific personal information will be provided within the scope of laws and regulations.
Subcontracting
  • JTC may disclose personal information to translators, interpreters, editors, and others entrusted with work when necessary to execute its business.
  • JTC shall not subcontract the processing of personal information it has gathered to any third party. However, when a person will provide JTC with his or her Individual Number (“My Number”), JTC shall ask that person to personally upload the number to the Individual Number management service that JTC has subcontracted.

4.Other Matters

  • Although JTC asks applicants to provide certain items of personal information as part of its recruitment process, applicants are under no obligation to provide said items. However, JTC may decide not to hire an applicant if it is unable to make a judgment on registration or hiring because certain personal information has been withheld.
  • Procedure for disclosure, amendment, etc.
    JTC accepts requests for the disclosure of personal information and specific personal information provided to it; notification of the purpose of use; amendment or suspension of use when the content of personal information in its possession is contrary to fact, etc.; and suspension of third-party provision (hereinafter all referred to as “disclosure, etc.”). For details on the procedure for requesting disclosure, etc., please inquire with the contact person specified below.
  • Consultation or complaints concerning the handling of personal information or specified personal information
    Consultation, complaints or other inquiries concerning JTC’s handling of personal information or specified personal information should be addressed to the following contact person.

Disclosure of Personal Information

Follow the guidelines below in order to make requests regarding the disclosure (including disclosures, revisions, additions, deletions, halting of use, removal, or suspension of provision to third parties) of personal information handled by Japan Translation Center, Ltd.

※Please do not use this form to request changes, revisions, or deletions of registered information pertaining to contractors and subcontractors. Instead, contact the responsible sales personnel or send an email to info2@jtc.co.jp.

1.How to Submit a Request

  • Requests are only accepted if sent by post. Enter all of the information required for items 1 to 4 below. Download and use the “Request Form for Personal Information Disclosures, etc.”
  • Note that we will be unable to accept your request if any of the required information is missing or entered incorrectly.
  • Additionally, please write “Contains a Request Form for Personal Information Disclosures, etc.” in red ink on the envelope.

2.Proof of Identity

  • We require proof to confirm that the applicant is the same as the individual concerned in the request.
  • Please include a copy of your driver’s license, insurance card, certificate of residence, or other form of ID when mailing in your disclosure request.
    ※If your proof of identity includes your “permanent domicile” (honseki-chi), which is considered especially sensitive information, black out that information on the submitted document.
  • Note that we will be unable to accept your request if the required documents are not included.
  • Japan Translation Center, Ltd. is absolved of responsibility if personal information is provided to a third party by identity fraud or any other method not identifiable by us. Please ensure that you understand this in advance.
  • If the individual requesting disclosure is a minor or the legal representative of an adult ward, include the following documentation in addition to the documentation in (2) above.
    • One (1) piece of documentation proving authority of legal representation (Official copy of family register. For legal guardians, a copy of an insurance card that indicates one’s dependents is also accepted) One (1) piece of documentation proving the identity of the legal representative (Copy of the driver’s license or health insurance card of the legal representative)

      ※If your proof of identity includes your “permanent domicile” (honseki-chi), which is considered especially sensitive information, black out that information on the submitted document.

4.Verification and Decision

  • If there is no information missing from the documentation, we will accept your request for consideration.
  • We will check your submission against our managed data and inform you of the result by mail.

5.Information Disclosure

※Of the pieces of information in the preceding list, only the applicable items will be disclosed.

However, there will be no disclosure in the following cases.

  • If the individual’s identity cannot be confirmed, e.g. if there is a mismatch between the address on the request form and the address on the proof-of-identity documentation
  • If authority of representation cannot be confirmed for requests made by proxy
  • If there is a possibility of endangering the life, health, property, or other rights and interests of the individual concerned or a third party
  • If there is a possibility of significantly hindering Japan Translation Center, Ltd. in the proper performance of our duties
  • If another laws and regulations will be violated

6.Disclosure

  • Information disclosure will be conducted in writing.
  • The sender’s address will be treated as the address of the requester themselves.

Confidentiality

The following are JTC’s basic principles regarding protection of confidentiality and copyright relating to work provided by our clients.

Protection confidentiality

  • No confidential information pertaining to the work, whether received in documentary format, by electronic file, or by oral instruction, will be divulged to any third party without the prior consent of the client.
  • No confidential information will be appropriated or used for purposes other than for the execution of the work without the prior consent of the client.
  • No confidential information will be copied or reproduced for purposes other than for the execution of the work.
  • All confidential information pertaining to the work will be returned to the client promptly on completion of the work, or will be destroyed and the client informed of this in writing.

Copyright

Unless otherwise decided by express agreement between the two parties, all materials created and supplied upon commission by the client shall be the sole property of the client. Meanwhile, if a literary work (as defined by Copyright Law) should be created in the process of or as a result of the execution of the work, it shall be regarded as a literary work created in the course of professional duty and shall therefore be the property of the client.
